Function Fired Actions

A Function Fired Action is based on processes within your organisation.  At present Function Fired Actions may only be set up for when an Event, Membership or Sponsorship are created.  

thankQ reminders will be automatically generated based on the number of days specified in the Action.

For example, a Function Fired Action may be set up so that when an event is created a reminder is generated a number of days before the event start date.  This might be a reminder to arrange catering or to book the venue.  

1.Click the Function Fired Actions icon from the Actions menu.

2.Click the New button

3.Select the Function from the Condition drop down

4.Click on the Action tab

5.Select a Category from the drop down

6.Enter a Subject

7.Enter notes into the Narrative field

8.Select a Priority if required

9.Click OK

10.Right click in the Reminder On window to select the user who will get this reminder.

Action Function Id

System generated action identifier

Enabled

Click this checkbox to activate the Function Fired Action.

Due Days to Add

The number entered in this field is added to the creation date of the event, membership or sponsorship and the Action will be generated on that date.  

If a negative number is entered, the action will be created on the same day

Condition

Select from the drop down list: Creation of Event, Creation of Membership or Creation of Sponsorship.

Criteria

Field available to enter specific criteria that will determine when this Action is triggered.  

The criteria statement must be in SQL format.  Please contact thankQ for the correct statement format

Category

Select a category from the drop down list.  The categories are the same as those in Outlook to allow these actions to be synchronised with Outlook tasks

Subject

A description of this action

Narrative

Description of tasks to be completed when this reminder is generated

Priority

Priority of the action

Reminder On

This is the thankQ user or users who will receive the action reminder.    

Add or remove names by right-clicking in the text area and select Add Reminder or Delete Reminder as appropriate

 

A reminder window similar to Outlook Task reminders will be displayed for the user or users specified in the Action On field when conditions of the Action are met.
