A |
|
Access Rights |
Using Access Rights you can restrict which areas of the system a user has access to. You can choose to give the user full access rights, making them a system administrator, or limit them to certain areas. |
Action Manager |
The Action Manager is used to manage user tasks and responsibilities. In the Action Manager you can create a to-do list, with information on the task to be completed, its status, priority and due-date. The user will receive a reminder when the task nears its due-date. By using the Action Manager you can also assign tasks to other users or groups on the system. |
Address Barcode |
This addresses on the Address tab of the Contact Form and contains the Australia Post Address barcode. Use of this barcode provides a facility for organisations to get discounts on postal services. |
Affinity |
Affinity is based on a scoring system whick ranks peoples engagement with you. You can give points for example; an email address could have 1 point, a volunteer may be 5 points. The more points the more engagement they would have with your organisation. |
AND Statement |
AND statement – results from search statements in an AND search will be combined. The power search will look for and return only contact records that satisfy EACH statement. In the example below the search will return all contact records where the gender is set to male AND the age is younger than 35. That is, all the men who are younger than 35 |
Archived Records |
A contact that has been removed from the main contact list and other associated lists such as Groups and placed in an archive. Any event or membership information will be retained, as well as communications, profiles, mailings, relationships and actions. This record will not be available in the active list of contacts but can be retrieved from the archive as required. |
Attachment |
A file that has been placed against a tab. Eg a Letter can be attached to the Communications tab on the Contacts Form. |
Attendee Type |
These are associated with an Event. Attendee Type can be a ticket that people can purchase to to to the event. |
Auction Item |
An item that can be auctioned in association with an event. |
Automation |
Automation is a separate module which can be purchased whereby certain functions of thankQ can be automated eg Send birthday greetings via eMail or SMS, run Power Searches, Affinity, Moves. Batch Processing and Pledge Processing are also available for automation. |

Barcode |
barcodes A barcode is an optical machine-readable representation of data. ThankQ provides the ability to configure barcodes for Appeal processing, Event attendance and Profiling |
Barcode (Australia Post) |
|ı|Iıı|I|ıı||II|ı|IIII|Iııı|ı Australia Post provides a slightly different barcode designed to be read by the Australian Post office scanners. It is the Australia Post Address barcode is known as the 4-State barcode. It comprises four types of bars (the four states), each of which has a distinct name, value and barcode symbol. Within a barcode, the bars are grouped in various ways to designate the numerical values 0,1, 2 or 3. Use of this barcode provides a facility for organisations to get discounts on postal services. |
Barcode Scanner |
A barcode scanner is a hand held device that can be attached to a computer via a USB port enabling attendance or payment information to be quickly and efficiently scanned into the thankQ system. |
Batch File |
Batch file is a file in which payments can be processed. Batches enable you to record information about the money you receive including the method of appeal that generated the payments and the project/account to which the funds have been allocated. |
Batch Processing |
Automated Batch Processing can be purchased from thankQ whereby credit card and direct debit batches can be run at certain times to deduct funds from donor's accounts |
Bequest |
The leaving of money or property in a will. Bequest is the act of leaving the money, however wills are sometimes contested. Bequest is leaving money or property in a will - Legacy is receiving the bequest. |
BPay |
BPay is a function within Mail Manager where a code can be inserted in a mailing for the donor to pay via Bpay internet banking |

Communication |
The Communication tab of thankQ facilitates the management of documents. The Communication tab on the Contact Details form shows letters, notes, phone calls, attachments and mailings that have been sent to your contact. |

This item under the Communication module will allow you to search for all communications |
Communication Automation Scheduler |
This module if configured, will allow you to setup certain power searches to run eg Birthday Greetings by eMail or SMS |
Configure Form Fields, labels |
There are certain label names that can be changed in thankQ at the front end. The back end table names will remain the same. Some fields can also be turned on or off. |
Contact |
Any person or organisation that is of value to your organisation. A contact can be a customer, client, donor, volunteer, small business, corporate, grant body, school, hospital, etc.. |
Contact Relationship Management (CRM) |
The Contact Relationship Management feature of thankQ allows you to easily and effectively manage your “top” donors; to track correspondence, phone calls, meetings, etc. Specific entries on the Communication tab are flagged as CRM, and using the CRM view you can view your own CRM contacts and Communications at a glance. |
Contact Source |
This is the reason why a contact first came to be known to your organisation. It may because of a personal introduction, a mailing, an advert, etc. |
Contact Type |
This is the highest level of classification of a contact record in ThankQ. It can be either an individual or an organisation. |

Data Import Options |
The Data Import Options is a application with in thankQ that allows the user to import new contacts into the thankQ system from an Excel spreadsheet. |
Data Tools |
Refers to a Module that provides facilities for data management eg import data into thankQ, deduping data |
Date Fired Actions |
This option is part of the Action Manager module whereby certain actions in thankQ can be setup to automatically remind a user to action something. Eg First time donation will send an action to a user to send a thank you communication. |
Default Address |
The Default Address is the address that thankQ uses when a mailing or letter is generated for that contact. The mailing or letter will be directed to that address unless specific mailing preferences have been set up on the Mailing Preferences tab. |
Desktop |
A personalised form that provides the user with very quick access to records through the use of hyperlinks. The ThankQ system can be opened directly to the ThankQ desktop. |
Destination Code |
A destination code is a code that represents the cause the money is to go to (e.g. it may represent unsolicited money, or money tied to a particular project). The definition of different destination codes allows you to track the sums of money relating to different funds, projects or accounts. |
DoFind |
A button used to activate a standard or yellow box search. |
Donor Statistics |
The statistics for all payments that have been processed in thankQ. When each Batch is approved the donation statistics, for each contact record in the batch, are updated. The donation statistics for each contact appear on the Fundraising tab on the Contact Details form. |
DOT (.dot ) |
In computing, DOT or dot (an abbreviation of 'document Template') is a file extension for preformatted templates processing documents; most commonly for Mail merges. |
Drop down Menu |
Drop down menus appear when you click on a drop arrow ▼ next a field. Drop down menus and pick lists facilitate data entry and searching. Users can insert data into a field by selecting from a standard predetermined list. This ensures that the information entered is consistent between users and speeds up the data entry process. |
Dupe |
Short for Duplication. ThankQ provi9des an editable rule set for an administrator to adjust these rules with respect to deduping. |

eCommunity |
A web page that can be set up for participants in a event, such as a walking or running marathon, eCommunity enables participants to set up their own web page and solicit sponsorship from their friends and family on line. |
eDonations |
A web page that can be set up to take donations on line and record them in thankQ. |
eEvents |
A web page that can be set up to facilitate event registration and payments online . |
EFT file |
The EFT file (Electronic Funds Transfer) The EFT file is a listing all of the electronic payments that need to be transferred to your organisations bank account from a batch file. You create the EFT file to send Credit Cards details and direct debit transfer information to your organisation’s Bank account. When the EFT file is sent to the bank the bank can then process the money into your account. |
Enable Cheque Scanner |
Use this option under Finance to enable your cheque scanner to scan cheques into a payment form of a batch |
Enquiry Register |
Enquiry Register is a module that can be used if people are enquirying about certain aspects of your organisation the enquiry can be entered into the system and monitored. This can be used for people taking messages, when they enter a name thankQ will match them if they exist already and this information will be attached to their record. |
eSupport |
The support web site was set up so that organisations can submit support requests queries and questions to ESIT support staff. These queries are called tickets. The Support site was designed to be used by the thankQ champion in each organisation. |
Event |
A fundraising activity eg a Appeal Dinner, Meeting, Ball, Car race, Golf Day, Conference |
Every Day Hero Import |
A tool that can be purchased to import Fundraisers and Donors from a spreadsheet downloaded from Every Day Hero. The Fundraisers and Donors are created and payments entered into a batch which is linked to the Fundraiser with their donors |
Excel Booking |
This is a feature of Events where an excel spreadsheet can be uploaded to an event and the default attendee type booked with a number of places. If no serial numbers are in the spreadsheet contacts will be created |
Extra Addresses |
A contact may want different types of mailings to go to different addresses. For example, they might want receipts to be sent to a business address but appeal mailings to their home address. The extra addresses are added on the Addresses tab on the Contact Details form. |

Filter Search |
A filter search facilitates a more complex search. Statements can be joined using the AND and OR commands and brackets can be used to group statements |
Form |
A screen with fields in which to enter and display data. In thankQ the different areas are referred to as forms. E.g. The Contact Details form, the Mail Manager form etc. |
Form Flags |
Form flags are power searches created with your organisations business rules. These icons are under the contact and when highlit will show at a glance if they are a Major Donor, Volunteer, Member etc |
Form Key Area |
The top half of a form where detailed information is managed. For example, on the Contact Details form this is where you would enter information such as the serial number, title, name, address, contact numbers and email address. |

Function Fired Action |
This option is part of the Action Manager module and certain function fired actions can be set up for new Events, Memberships and Sponsorships. Eg a Function Fired Action may be set up so that when an event is created a reminder is generated a number of days before the event start date. Contact thankQ for the setup of these. |

Global Update |
The global updates process is very useful when attempting to make either, a single change or a number of changes to a given set of records. This update process can be applied to either all of the contact records in the database or only to a set of contacts, chosen based on specific search criteria. |
Grant Application |
Applying for funding from Grant Makers such as a Government Department, Corporation, Foundation or Trust. |
Grant Giving |
The distribution of funding for a particular project. The recipient would generally apply for the grant and would need to substantiate the reason for the grant. |
Groups |
A list of contacts saved in a group that can be recalled at a future date to be used as a mailing list etc. |

Is a company that provides Australia Post approved address management software that can be linked to addressing in thankQ. |
Host/Guest |
The grouping of invited guests to their hosts. |
Host/Guest Template |
The Host-Guest Template is a hierarchical tree-structure where the levels are described as Campaign, Division, Sub-Division, Host and Guest. Any number of Campaigns, Divisions, hosts and guests may be added to the template. Once the main structure is in place individual parts of the template can then be applied to a specific event, where it may then be modified if necessary through the Host-Guest Events icon. Once the template has been applied to an event it is locked, preventing further changes, as this is the permanent record of host-guest structure. |
Households |
Contacts are grouped together into a “Household”, whether they have a relationship on the Relationships tab or not. Every contact record that is in the lead contact’s household has the lead contact’s address as the default address. |
Housing |
A module specific to register housing and it's occupants. Housing valuations and vehichle register |

In Celebration |
In thankQ you are able to manage pledges and donations given in honour of someone’s special occasion, e.g.. birthday, wedding anniversary, bar mitzvah, etc. Special Source Codes are set up through the In Memoriam/In Celebration icon on the contact form and letters may be sent advising the person of donations that have been made in their honour. |

Include Field Rules |
A merge field used to include a variable field in a mailing when that field may not otherwise be available. eg If you wish to send a group of contacts a mailing stating that their credit cards are about to expire, the credit card information that would not normally be available in a contacts mailing can be made available using a field rule. |
Include Text Rules |
A merge field used to include variable text according to rules. If you are sending receipts to a group of contacts that have donated to different causes you can vary the text that appears in the receipt. |

Lookup Values |

Mail Manager |
The Mail Manager is a facility for handling large mailings to groups of people. Using the Mail Manager, business letters, receipt letters, mailing for events, reminders and membership renewals are just some of the mailings that could be managed through the mail manager. |
Mail Merge |
Mail merge is a software function describing the production of multiple (and potentially large numbers of) documents from a single template form and a structured data source. This helps to create personalized letters and pre-addressed envelopes or mailing labels for mass mailings from a word processing document which contains fixed text, which will be the same in each output document, and variables, which act as placeholders that are replaced by text from the data source. |
Mailing Preference |
For each contact, you can set preferences for the address to which different types of mailings should be sent and indicate any mailing types that the supporter does not wish to receive. These preferences are configured on the Mailing Preferences tab on the Contact Details form. |
Mailsort Options |
Australia Post offers reduced postage rates to those customers who are able to sort letters into a particular order. The Mailsort option will organise your mailing so that it complies with the Australia Post Pre-sort Plan |

Merge Field |
If you are sending a letter to a number of people and wish each letter to contain personalised information, such as name and address, for each person who will receive it, then you need to use merge fields when creating the letter template. For example, instead of typing a name you use the merge field «TOLETTERSALUTATION». This merge field will be replaced by the contact's name when the letter is mail merged. |

Pick Lists |
Pick Lists icons that appear next to blank fields in thankQ. By clicking on the pick list icon a menu will appear. Pick Lists and Drop down menus facilitate data entry and searching. Users can insert data into a field by selecting from a standard predetermined list. This ensures that the information entered is consistent between users and speeds up the data entry process. |
Places |
Places are associated with an Event. A Booker purchases a quantity of Attendee Types and they become places that you can assign to other people for seating arrangements and reporting |
Pledge |
A promise of a future payment. The payment could be a one off payment, a set n umber of payments over a fixed person or continuous payments over an extended period of time. |
Pledge Processing |
Pledge Processing can be purchased from thankQ whereby when a donor's ongoing giving is due and is paid by either credit card or direct debit thankQ will deduct those funds from their account on a given day at a given time. |
Positions |
Positions are setup under the Volunteer module and can have Skills attached eg Position = Minding Children, Skill = Child Minding |
Power Report |
A Power Report is a way of reporting specific information which is not available in standard reports. Power Reports are based on searches, usually Power Searches. A power report cannot be run unless you have first selected records to report on via a search. |
Power Search |
The Power Search feature allows users to construct detailed searches using very specific search criteria. For example you can set up a search to find all contacts who live in a certain area; contacts who have donated over a certain amount; or contacts who live in a certain area who have donated a certain amount. You can also exclude contacts who fit certain criteria such as Do Not Mail. |
Primary Category |
A Primary Category is a way of identifying a contacts relationship to your organisation. Examples of Primary Category settings include - Supporter, Donor, Volunteer, Charity etc |
Products |
These are associated with the Merchandise module and are products setup in a warehouse |
Profiles |
Profiles are used to add additional information to or classify a contact record. For instance, you may want to record a supporter’s country of origin, donor rating or classification. A profile name may have a number of values, allowing you to group similar but different values under the same profile name. A profile entry can also be configured so that it is only valid for a particular date range. |
Prospects |
Use this module to maintain and nuture contacts on the database through to stewardship. |

Reports |
Processed information that has been extracted from thankQ. It can be extracted in to Word, Excel, Access or other reporting tools. |
Role (Volunteer) |
An organisational job function eg fundraising, membership. These roles can be set up so that access rights to various modules in thankQ can be allocated to users that have the designated role. |
Standard Reports |
Preprogrammed, predefined reports that are shipped with thankQ. Eg Financial reports, Events reports, Membership reports |
Ad Hoc Reports |
Reports that can be defined by users as required. Users can select any of the available fields in any module for inclusion on a report. These reports differ from predefined reports that . columns headings. |
Record Selector |
The Record Selector is located at the bottom of the Contact Details form. By clicking on the arrows on the left and right of the record selector you can scroll through the list of contact records. |
Relationship Tree |
Another way of viewing information about a contact is through the Relationship Tree. It displays all the information for the selected contact such as relationships, donations, events, addresses and mailing preferences. |
Relationships |
The Relationship manager is a powerful tool in thankQ and provides you with the facility to make associations between contacts so that you can reflect real life knowledge about your supporters. |
Reporting |
Creating reports. ThankQ has a number of predefined reports. There are also a number of thankQ applications designed to help you create reports from scratch. |
RFM |
RFM is a method used for analysing customer behaviour and defining market segments. It is commonly used in database marketing and direct marketing and has received particular attention in retail.. RFM stands for -Recency - When was the last order?. Frequency - How many orders have they placed with us? Monetary Value - What is the value of their orders? The formula that used for our RFM code in thankQ is: RFM SCORE = R + F + M/25 |
Right Mouse Click Area |
Right Mouse click Area is the area at the bottom of the screen below the tab area in most thankQ forms. Information can be added, edited and deleted in the Right Mouse Click Area by right mouse clicking. |
Roles (Administration) |
Roles can be created which groups access rights of that role eg Event could have all the access rights associated with the module |

Search Criteria |
Criteria is a rule or principle for evaluating or testing something. Search Criteria is word, name or set of numbers or dates used in a search. |
Search Operators |
Are statement like AND and OR or symbols like > greater than and < less then that you may use in your yellow box searching. They may be used on any text, numeric or date field that is coloured yellow after clicking the Search button |
Segmentation Options |
If necessary you can split the mailing into segments for printing and mailing. There are number of segmentation options available in thankQ |
Serial Number |
Is the unique key for each contact record in the database. |
Server Job |
There are a number of tasks which automatically run on a periodic basis. These tasks are represented by a series of jobs in SQL Server and are responsible for maintaining various areas of data within the database. The jobs should be timed so as to run outside of working hours so as not to impact thankQ client performance |
Sessions |
Your event may have a number of parts. For example your event may have a number of workshops or you may have a cocktail party before your dinner. Using sessions, you’re able to segment your event into different parts. You can then book individual contacts onto different sessions, depending on what they’ve decided to attend. You may also want to add a separate cost to each session on top of the basic ticket price. Such extra costs will be added to the attendees booking total and payments will be processed as normal for these additional costs through the finance module. |
Skills |
Skills can be setup under the Volunteer module eg Child Minder, Drivers License |
Soft Donation/Pledge |
When a relationship exists between two contacts, a pledge given by one contact can be deemed to have been given by the related contact. For example, if a husband or wife is a regular donor, it may be appropriate to record the donation as an indirect or soft donation against the other’s record. |
Source Code |
A source code is a code that that represents the reason why the contact gave money to your organisation (i.e. the source of this money). The definition of different sources codes allows you to track the performance of your campaigns (sources). |
Sponsorship |
Use this module if you have any corporate sponsors who give on an ongoing basis. These could also have benefits. |

Setup the different pricing sturctures used for Sponsorship |
SQL |
SQL (Structured Query Language) SQL is a programming language for querying and modifying data and managing databases ThankQ is written in SQL. |
Standard Search |
Also known as Yellow Box Search. Activated by clicking on the search icon on most thankQ forms. It is nick-named yellow box search because it turns most data fields in a thankQ form yellow enabling the user to type in criteria for searching. |
Show Filter Bar |
On certain forms in thankQ a right click will allow you to activiate the filter bar which in turn will allow you to filter the list on that form |
Sticky Note |
Sticky notes are a way to record and display any information about a contact that users need to be aware of. When a user clicks on a contact record that has a sticky note attached, it will be displayed on the screen |
Structures |
The term ‘structures’ refers to the facilities or methods by which attendees are organised during an event. For example, at a dinner you may have a number of tables at which attendees will be sitting. Using structures you can create the tables and then book contacts on to each structure as they RSVP to the event. You can add more than one type of structure to an event. For example, in addition to allocating attendees to tables you may be providing buses to get people to the event and will need to allocate people to a bus so you know how many buses to book. |

The Tab area of any thankQ form is often referred to as a sublist |
Sublist Filtering |
The Tab area of any thankQ form is often referred to as a sublist. As well as being able to search on sublists using a yellow box search, you are also able to filter the information in a tab that you have searched on. |
Sublist Reporting |

Support Services |

Support Website |

Synchronising |
Synchronising refers to Synchronising thankQ with Outlook so that Outlook and thankQ will contain the same contact information. . |
System Fired Action |
This is part of the Action Manager module which will set automatic actions for certain System/Functions eg Batch, Mailing, Grants. Contact thankQ for these to be setup. |

The bottom half of a thankQ form and is headed by a series of tabs. |
Table View |
The Table View tab appears on almost all thankQ forms as the tab on the far right hand side of the page. The Table View tab will usually display all records in a give area in groups of 25 per page. |
Tabs |
The headers in the bottom portion of each thankQ form. Eg biographical tab, mailing preferences tab, communications tab on the Contact Details form. |
Template |
The term template, when used in the context of word processing software, refers to a sample "fill-in-the-blank" document that can be completed either by hand or through an automated iterative process |
ThankQ |
ThankQ is a contact management, fundraising and document management system designed especially for the not-for-profit sector. |
ThankQ Champion |
The person in each organisation that is designated to be the main contact for thankQ. |
Ticket |
On the support web site a support request or query is called a ticket. To start a support process going is the simple matter as sending an e-mailed through the eSupport web site. |
Tool Bar |
The area at the top of most thankQ forms where the icons are located is called the tool bar. |

Users can create their own Profile tabs under Contacts, Events, Grants, Housing, Support Services. Just the information relevant to that tab can be displayed eg Medical could have doctors details and special needs |
User Profile |
When a new user is given access to thankQ a User Profile is set up. This User Profile controls what areas the in thankQ the user has access to as well as the user's thankQ password. |

A wildcard is a symbol that stands for one or more unspecified characters and is most often used when searching text. This feature is useful when you do not know the exact details that you are looking for. Examples of wildcards are asterisks *, number sign (a.k.a hash mark) # and question mark ?. |
Workflow |
Workflow is used to indicate the progress of processes within thankQ. Different options will be available at each stage in a workflow process. These options are listed to the left hand side of the form. They are also available on the Workflow menu at the top of the form. Operations such as Mail Manager or Batch Processing contain workflow diagrams. In addition, Workflow diagrams can also appear on tabs. For example, in the mailing process, the Workflow tab will provide information on the current status of the mailing. |
Written Down Pledge |
A pledge installment or pledge that has been written off such that the organisation will not pursue further payment. |

Also known as standard searching. Activated by clicking on the search icon on most thankQ forms. It is nick-named yellow box search because it turns most data fields in a thankQ form yellow enabling the user to type in criteria for searching. |
